This Privacy Policy explains how Clubhaus (“Clubhaus”, “we”, “us”, “our”) collects, uses, shares, and protects your personal information when you use the Clubhaus mobile apps (iOS and Android), the web app at app.golfclubhaus.com, and the golfclubhaus.com website (together, the “Service”). It also explains your rights and how to exercise them. Please read it alongside our Terms of Service and Cookie Policy.
By using the Service you acknowledge the practices described here. If you do not agree, please do not use Clubhaus.
Clubhaus is operated from the United Kingdom. For the purposes of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, Clubhaus is the “controller” of the personal data described in this policy. You can reach us about any privacy matter at hello@golfclubhaus.com or via our contact page.
We collect the following categories of information:
Information you give us
• Account details: your name (or display name), email address, and password. Passwords are handled by our authentication provider and are stored in hashed form; we never see your plaintext password.
• Profile: an optional profile photo and an optional handicap figure you enter.
• Golf activity: rounds, hole-by-hole scores, courses played, dates, handicap history, statistics, and achievement badges you earn.
• Club data: clubs you create or join, your membership and role, and join codes.
• Club chat: messages you post in your club's group chat, and any content you report or users you block.
• Support communications: messages you send us by email or the contact form.
Information we collect automatically
• Device and technical data: device type, operating system, app version, language, and diagnostic or crash information used to keep the Service reliable and secure.
• Push token: if you enable notifications, a device push token so we can deliver them. You can turn notifications off at any time in your device settings.
• Cookies and local storage: see our Cookie Policy.
We do not intentionally collect special-category data (such as health, race, or religious beliefs). Please don't post such data in chat or profiles.
We process your personal data for the following purposes and on the following legal bases under the UK GDPR:
• To provide the Service — creating your account, storing your rounds, calculating handicap estimates, running club leaderboards, syncing across your devices, awarding badges, and operating club chat. Legal basis: performance of a contract with you.
• To keep the Service safe — authenticating logins, preventing fraud and abuse, and reviewing reported content. Legal basis: our legitimate interests in a secure, trustworthy service, and compliance with legal obligations.
• To communicate with you — service messages, and push notifications you have enabled. Legal basis: performance of a contract, and your consent for optional notifications.
• To improve Clubhaus — understanding which features are used and fixing problems, via Google Analytics. This happens only if you opt in, and you can withdraw at any time in Profile → Account & Legal. Legal basis: your consent.
• To comply with law — responding to lawful requests and enforcing our terms. Legal basis: legal obligation and legitimate interests.
We do not sell your personal data, and we do not use it for advertising. The only third-party analytics we use is Google Analytics, described below, and only with your consent.
Clubhaus is a shared, social product. Your display name, profile photo, handicap, round history, statistics, achievements, and chat messages are visible to other members of the clubs you join — that is the purpose of a shared leaderboard and club. Do not join a club, or post content, that you are not comfortable sharing with its members. Club admins can manage membership and moderate reported content.
We share personal data with a small number of providers who process it on our behalf, under contractual confidentiality and data-protection obligations:
• Google Firebase (Google Ireland/LLC) — authentication, database, hosting, and push messaging. Your account, golf data, and chat are stored in Firebase.
• Google Analytics for Firebase — only if you opt in. If you consent, we send Google usage events (such as opening the app, signing up, or saving a round) together with an app instance identifier and your Clubhaus user ID, so we can see how the app is used and fix problems. Analytics is off until you accept, and you can withdraw at any time in Profile → Account & Legal. We do not use it for advertising.
• Cloudflare — content delivery, security, email forwarding for hello@golfclubhaus.com, and to run parts of our backend (for example, course search). Cloudflare processes technical connection data. We also use Cloudflare Web Analytics on our marketing website: it is cookieless, collects no personal data, does not fingerprint you or track you across sites, and simply counts page views and referrers.
• Golf course data provider — when you search for a course, the search term is sent to a third-party golf course database to return course details. We do not send your name, email, or account identifier with these searches.
We may also disclose information if required by law, to enforce our terms, or to protect the rights, safety, or property of Clubhaus, our users, or others. If Clubhaus is ever involved in a merger, acquisition, or sale of assets, your data may be transferred as part of that transaction, and we will notify you of any change.
Our providers may process your data outside the UK or your country, including in the United States and the EU. Where data is transferred internationally, we rely on appropriate safeguards such as the UK International Data Transfer Agreement, the EU Standard Contractual Clauses, or an adequacy decision, so that your data receives an equivalent level of protection.
• Account and golf data are kept while your account is active.
• Club chat messages are automatically deleted after approximately 30 days.
• Support emails are kept for as long as needed to handle your query and for a reasonable period afterwards.
• Backups and legal records may persist for a limited additional period where we are required to keep them.
When you delete your account (see below), we remove your profile and personal details. Your past rounds may remain in your club's shared history displayed as “Former member”, so other players' shared scorecards and leaderboards are not broken; these entries are no longer linked to your name or a live account.
You can permanently delete your account at any time, directly in the app: Profile → Delete account. You'll be asked to re-enter your password to confirm. This removes your profile and personal information as described in section 7. If you have trouble, email hello@golfclubhaus.com and we'll help.
We use appropriate technical and organisational measures to protect your data, including encrypted connections (HTTPS/TLS), access controls, and database security rules that isolate each club's data to its members. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Keep your password confidential and contact us promptly if you suspect unauthorised access to your account.
Depending on where you live, you have rights over your personal data. For UK and EU users under the UK/EU GDPR, these include the rights to: access a copy of your data; correct inaccurate data; delete your data (“right to be forgotten”); restrict or object to certain processing; data portability; and withdraw consent at any time (without affecting prior processing). If you are in California or another region with similar laws, you may have comparable rights, including the right not to be discriminated against for exercising them — and note that we do not sell personal data.
To exercise any right, email hello@golfclubhaus.com or use our contact page. We will respond within the time required by law (generally one month under the UK GDPR). You also have the right to complain to a data protection authority — in the UK, the Information Commissioner's Office (ICO) at ico.org.uk — though we'd appreciate the chance to resolve your concern first.
Clubhaus is not directed at children under 13, and by using the Service you confirm you are at least 13 years old (or older where your country requires). We do not knowingly collect personal data from children under 13; if you believe a child has provided us data, contact us and we will delete it.
Handicap figures in Clubhaus are estimates calculated using World Handicap System (WHS) methodology for casual and social play. They are not official WHS Handicap Indexes, which are issued only by affiliated golf associations. Clubhaus is not affiliated with, endorsed by, or connected to the R&A, the USGA, or any handicapping authority.
We may update this policy from time to time. The “last updated” date above will change, and we'll highlight significant changes in the app or by email. Continued use of the Service after an update means you accept the revised policy.

These Terms of Service (“Terms”) are a legal agreement between you and Clubhaus (“Clubhaus”, “we”, “us”, “our”) governing your use of the Clubhaus mobile apps, web app, and website (together, the “Service”). By creating an account, or by accessing or using the Service, you agree to these Terms and to our Privacy Policy. If you do not agree, do not use the Service.
You must be at least 13 years old (or older where your country requires) to use Clubhaus. You agree to provide accurate registration information, to keep your login credentials secure, and to be responsible for all activity that occurs under your account. Tell us promptly at hello@golfclubhaus.com if you suspect unauthorised use. One person may not maintain accounts to abuse, evade blocks or bans, or disrupt others.
Clubhaus lets you record golf rounds and scores, join or create clubs, view shared leaderboards, chat with your club, and earn achievements. You agree to enter scores honestly for yourself and, where you record them, for your playing partners. Club admins may set join codes, manage membership, assign roles, and moderate content within their club, and are responsible for managing their members appropriately. We are not a party to disputes between club members.
You agree not to, and not to attempt to:
• submit fraudulent, fake, or deliberately inaccurate scores or data;
• post content that is unlawful, harassing, abusive, threatening, hateful, defamatory, obscene, sexually explicit, or otherwise objectionable;
• impersonate any person or misrepresent your affiliation with anyone;
• harass, bully, stalk, or intimidate other users;
• upload viruses or malicious code, or attempt to gain unauthorised access to accounts, clubs, or our systems;
• scrape, reverse-engineer, resell, or overload the Service; or
• use the Service to break any applicable law.
The Service includes club chat and other user-generated content. Clubhaus has zero tolerance for objectionable content and abusive users. You are solely responsible for the content you post and must have the right to post it.
To keep the community safe, Clubhaus provides tools built into the app: you can report any message and block any user, and club admins can remove messages and members. Reported content is reviewed, and we may remove content and suspend or terminate the accounts of users who violate these Terms, at our discretion and without prior notice. Club chat messages are automatically deleted after approximately 30 days. By using the Service you agree to this moderation and that we may act on reports to protect users.
If you encounter objectionable content or behaviour, report it in the app or email hello@golfclubhaus.com. We aim to act on reports of objectionable content within 24 hours, which may include removing the content and ejecting the user who provided it.
You keep ownership of the content you create in Clubhaus (such as scores, chat messages, and photos). To operate the Service, you grant Clubhaus a worldwide, non-exclusive, royalty-free licence to host, store, reproduce, and display that content for the purpose of providing and improving the Service — for example, showing your rounds to your club and on leaderboards. This licence ends when your content is deleted, except for copies retained in routine backups or as required by law.
Clubhaus, the Clubhaus name and logo, the achievement badge designs, and the app and website design are owned by us and protected by intellectual property laws. We grant you a limited, personal, non-transferable, revocable licence to use the Service for its intended purpose. You may not copy, modify, distribute, or create derivative works from the Service except as allowed by law.
Handicap figures shown in Clubhaus are estimates calculated using World Handicap System (WHS) methodology, intended for casual and social play. They are not official WHS Handicap Indexes, which can be issued only by affiliated golf associations, and must not be relied upon for official competition eligibility. Clubhaus is not affiliated with, endorsed by, or connected to the R&A, the USGA, or any handicapping authority. Course data is provided by third parties and may contain errors.
The Service relies on third parties (such as Google Firebase, Cloudflare, the app stores, and a golf course data provider). Your use of app-store distribution is also subject to the relevant store's terms. We are not responsible for third-party services, and their availability is outside our control.
We aim to keep Clubhaus available and reliable but do not guarantee uninterrupted or error-free service. We may add, change, suspend, or discontinue features (including deleting old chat messages) at any time. We are not liable for any loss arising from changes to or unavailability of the Service.
Clubhaus is currently free to use. Any future merchandise or paid features will be governed by separate sale terms (including pricing, delivery, and returns) presented at the point of purchase.
To the fullest extent permitted by law, the Service is provided “as is” and “as available”, without warranties of any kind, whether express or implied, including fitness for a particular purpose, accuracy, and non-infringement. Nothing in these Terms excludes or limits any rights you have as a consumer that cannot lawfully be excluded.
To the extent permitted by law, Clubhaus will not be liable for any indirect, incidental, special, consequential, or punitive loss, or any loss of data, profits, or goodwill, arising from your use of (or inability to use) the Service. Nothing in these Terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be limited.
You agree to indemnify and hold Clubhaus harmless from claims, damages, and reasonable costs arising from your breach of these Terms, your content, or your misuse of the Service, to the extent permitted by law.
You may stop using Clubhaus and delete your account at any time from within the app (Profile → Delete account). We may suspend or terminate your access, with or without notice, if you breach these Terms, if required by law, or to protect the Service or its users. Sections that by their nature should survive termination (such as content licences already granted, disclaimers, and limitations of liability) will continue to apply.
These Terms are governed by the laws of England and Wales, and the courts of England and Wales will have jurisdiction, except where the mandatory consumer-protection laws of your country of residence give you additional rights or require otherwise.
We may update these Terms from time to time. The “last updated” date above will change, and we'll highlight significant changes in the app or by email. Continued use of the Service after changes take effect means you accept the updated Terms.

Clubhaus uses cookies and similar technologies (such as browser local storage and mobile device storage) to make the Service work, remember your choices, and — only with your consent — understand how it's used. This policy explains what we use and how you can control it. It should be read alongside our Privacy Policy.
This marketing website (golfclubhaus.com) sets no cookies. It uses Cloudflare Web Analytics, which is privacy-first and cookieless: it counts page views and referrers without cookies, without fingerprinting, and without tracking you across sites or building any profile of you. Because it stores nothing on your device and collects no personal data, it needs no consent banner. Everything else below applies to the Clubhaus app and web app.
“Cookies” are small files stored on your device; “local storage” is a similar browser technology. We refer to both simply as cookies below.
Required to keep you signed in, maintain your session securely, remember essential preferences (like your default club and unread-chat state), and support core functionality such as live scoring and offline use. These cannot be switched off, as the Service will not function properly without them. We rely on our legitimate interest (and the necessity of providing the Service you request) for these.
Remember your choices so you don't reset them every visit — specifically: which club you last had open, your analytics choice, anyone you've blocked in chat, how far you'd read in chat, and whether you dismissed the notifications prompt. These are stored on your device, not sent to us as cookies.
We use Google Analytics for Firebase to understand how the app is used — which features are popular, and where things break — so we can improve them. This is strictly optional and off by default: we ask you in the app first, and the analytics code isn't even loaded unless you accept. You can change your mind at any time in Profile → Account & Legal, which stops collection and clears the associated cookies. We never use analytics for advertising.
If you consent to analytics, Google sets cookies or device identifiers to measure app usage, governed by Google's own privacy policy. Course search queries are sent to a third-party golf course database, but without your identity attached. We use no advertising or social-media trackers.
You can control or delete cookies and local storage through your browser or device settings, and where we use non-essential analytics we will seek your consent where required by law. Blocking strictly necessary cookies may prevent parts of Clubhaus from working correctly, including staying signed in.
